Contacts and pipeline
One CRM for every chat, comment and channel
Everyone who messages your connected channels becomes a contact, with their conversations, tags, notes and pipeline stage in one profile.
Included in Premium and higher plans, not in Starter. Free for 7 days. Card required; cancel before the trial ends and you will not be charged.
Contact profiles
One profile, many channels
People who message your channels appear as contacts on their own. When the same person writes on two channels, merge the two, and one profile holds every channel, conversation, note and tag.
- Name, email, phone, birthday, language, time zone and source
- Custom fields for text, numbers, emails, phone numbers or dates, filled in by your flows from the answers people give
- An activity timeline with flow answers, internal notes and meetings
- The channels each person can be reached on, and whether they are subscribed
Pipeline
A pipeline you can drag
See where your leads stand on one board. Start with the Lead, Engaged and Customer stages, add the ones your business uses, and drag contacts along as conversations move.
- Drag a contact from one stage to the next
- Add your own stages
- Set the stage from the inbox, a flow, a CSV import or the API
- A stage change can start an automation, for example to tag the contact or post a Slack message to your team
Segments and tags
Find the right people in seconds
Group contacts once, then reuse the group for broadcasts, automations and reports.
-
Saved segments
Build an audience from stage, tags to include, tags to leave out and days since last activity. A live count shows how many contacts match.
-
Conditions
Narrow a segment by contact source, a custom field, the channels a person can be reached on, subscription, birthday month or a tag.
-
Workspace tags
Tag contacts by hand, in bulk, from a flow or on import. The built-in Unsubscribe tag is locked, because opt-outs depend on it.
-
Filters and bulk actions
Filter the list by keyword, segment, stage, tag, status or channel, then tag, set the stage or delete in bulk.
-
Suppressions
Blocked and unsubscribed contacts in one list. No automated messages go to them, and you can unblock or resubscribe anyone.
-
Audiences that act
Send a broadcast to the contacts in a segment who opted in, or run a scheduled automation for one. Opted-out contacts are always skipped, and each daily run reaches up to 500 contacts.

Import and export
Bring your list, take it with you
Your contact list is yours. Move it in and out as a CSV file, keep it tidy and remove people when they ask.
-
CSV import
Upload a CSV with name, country code, phone, tags, stage, notes and custom fields. Start from the sample file and check the preview before you import.
-
WhatsApp consent on import
Imported contacts have no channel until you choose one. A WhatsApp number is linked only when you confirm these contacts agreed to WhatsApp messages from you.
-
CSV export
Export your contacts and their fields to a CSV file whenever you need them somewhere else.
-
Merge duplicates
Contacts that share a phone or email show up as possible duplicates. Merge them, and their channels, conversations, notes and tags move into one profile.
-
Restore deleted contacts
A deleted contact can be restored for 30 days, with its conversations, notes and tags. After that, it is erased.
-
Erase on request
When someone asks you to delete their data, erase the contact and every recovery copy for good.
Connections
A CRM for messaging, connected to the rest
Contacts in Postocial are built for conversations: who people are, what they said and where they stand. There are no deals, quotes or email campaigns. For those, sync your contacts to the tools you already use.
- HubSpot: new and updated contacts with an email sync on their own, and flows can use a Sync to HubSpot step
- Mailchimp: contacts with an email join the audience you pick, on their own or from an Add to Mailchimp step
- Google Sheets: add a row from a flow, or look one up
- Signed webhooks for contact events, and the Messaging API to create and update contacts from your own systems
Team access
Decide who sees which contacts
Custom Team Roles give each teammate the contact permissions their job needs, out of 55 permissions in all.
- Separate permissions to view, create, edit, import, export, merge, delete and erase contacts
- Limit a role to some channels, so its members see and answer only those conversations and contacts
- Viewers can look at contacts without changing anything
- Workspace admins keep every permission
By plan
Contact limits by plan
Contacts and every contact feature come with messaging, on Premium and higher plans only. The limits set how many contacts you can keep, and how many active contacts, people you messaged or who messaged you in the last 30 days, the plan covers.
| Feature | Starter | Premium | Agency | Unlimited |
|---|---|---|---|---|
| ContactsContacts the workspace can keep | No | 50,000 | 150,000 | 150,000 |
| Active contactsMessaged you, or were messaged, in the last 30 days | No | 10,000 | 25,000 | 25,000 |
| Pipeline, segments and tags | No | Yes | Yes | Yes |
| CSV import and export | No | Yes | Yes | Yes |
| HubSpot and Mailchimp sync | No | Yes | Yes | Yes |
At the contacts limit, only adding contacts by hand or by import is refused, and messages from new customers always arrive. Nothing is blocked at the active contacts limit. Compare every plan limit.
FAQ
Contact questions
Is this a full CRM?
No. It is a CRM for messaging: one profile per person, with their conversations, tags, custom fields, segments and pipeline stage. It has no deals, quotes or email. For those, sync your contacts to HubSpot for deals, or to a Mailchimp audience for email.
Can I import my customer list?
Yes, from a CSV file with names, phone numbers, tags, stages, notes and custom fields. Import only people who agreed to hear from you, never bought or scraped lists. To message imported contacts on WhatsApp, they must have agreed to WhatsApp messages from you, and you confirm that when you import.
How many contacts can I keep?
Up to 50,000 on Premium, 150,000 on Agency and 150,000 on Unlimited. Starter does not include contacts. You get a notice as you near the limit and when you reach it. At the limit, only adding contacts by hand or by import is refused, and messages from new customers always arrive.
What counts as an active contact?
A contact who messaged you, or whom you messaged, in the last 30 days. Your plan covers 10,000 on Premium, 25,000 on Agency and 25,000 on Unlimited. The count shows on the Contacts page, and nothing is blocked at the limit.
Does Postocial charge per contact or per message?
No. Contacts and messaging come with Premium and higher plans, within your plan's limits. Meta bills WhatsApp messages to your WhatsApp Business account, and texts go through your own Twilio, Plivo or SMS gateway account, billed by your provider.
Can I export my contacts?
Yes. Export your contacts and their fields to a CSV file at any time, as long as your role includes the export permission.
Can I erase someone on request?
Yes. Erase the contact and every recovery copy for good. A contact you delete can be restored for 30 days, then it is erased, and archived conversations are deleted after 30 days. You're the controller of your contacts' data, and Postocial processes it for you under the Data Processing Addendum.
Put a profile behind every chat
